I Left Rivier University. What happens to my account, data, and email address?

Leaving the University? Don’t forget your data!

I am a former student who completed a degree program from the university.

Graduates of Rivier University (Alumni) are eligible to retain their Rivier email address and mailbox contents indefinitely*. Within 6 months of completing your degree, your Microsoft A3 student license will automatically be converted to an Exchange Online for Alumni license. With this change, your OneDrive account will close, and all of your OneDrive data will be permanently deleted 30 days after the student license is removed. The Exchange Online for Alumni license grants you access to Rivier email only, not any of the other Microsoft 365 services (including access to Office software). If you previously downloaded Microsoft Office, the software will no longer be activated and will not let you perform most functions (including saving files). You will need to purchase a new Microsoft 365 subscription (formerly Office 365) to keep using the software.

Alumni “P: drive” files and data stored on the university file servers are permanently deleted periodically.

If you are a recent graduate and wish to retain the data in your OneDrive, please back it up or move it to a new account as soon as possible. You can use Microsoft’s free Mover utility to do this. If your license was removed before you were able to back up your OneDrive (and it has been less than 30 days since the license was removed), we may be able to temporarily reinstate your student license so that you can regain access to your OneDrive files and back them up. If you would like to request for us to reinstate your student license, please contact us at itsupport@rivier.edu so we can help. Note that this favor is granted on a case-by-case basis at the discretion of the university.

* The Rivier University policy on alumni mailboxes is subject to change without notice. Alumni accounts that are inactive (no logins) for six months may be subject to being closed.

I am a former student who did not complete a degree program from the university.

Students who withdraw from the university are not eligible to retain their Rivier email address or the data in their accounts. Within 6 months of withdrawing from the university, your Microsoft A3 student license will be removed. Your email and OneDrive account will close and your data will be permanently deleted. If you previously downloaded Microsoft Office, the software will no longer be activated and will not let you perform most functions (including saving files). You will need to purchase a new Microsoft 365 subscription (formerly Office 365) to keep using the software.

All data in your mailbox and OneDrive will be permanently deleted 30 days after the license is removed. At the university’s discretion, former students can be given temporary access to their accounts to retrieve data.

Before you lose access to your Rivier student account, please consider updating your email subscriptions to an alternative (non-Rivier) email address, and notify your contacts from your alternative (non-River) address so that they can continue reaching you.

If you recently withdrew from the university and need access to data in your OneDrive, please back it up or move it to a new account as soon as possible. If your license was removed and your account was disabled before you were able to back up your OneDrive (and it has been less than 30 days since the license was removed), we may be able to temporarily reinstate your student license and re-enable your account so that you can regain access to your OneDrive files and back them up. If you are taking a leave of absence (LOA) from the university, please contact the IT department at itsupport@rivier.edu so we can make sure that your account is not closed or unlicensed during your LOA.

Can I still access Canvas? Do I have access to Regina Library Online Resources (databases)?

Students who have a valid Rivier email address can continue to access Canvas. However, the courses and content they can see may be restricted by their instructors. If you do not see the course in Canvas you are looking to see, you may try reaching out to your instructor or email cparent@rivier.edu.

Access to Regina Library Online Resources is only available to current students. However, alumni are welcome to visit Regina Library and access online resources in person. Please speak with a librarian for assistance.

I am a former faculty or staff member (employee).

Former employee accounts become disabled when they leave Rivier University. The data associated with your account remains property of the university. If you need something from your Rivier employee account, please contact HR (do not contact IT directly). Only HR can approve requests like this.

Note: The IT department strongly encourages employees not to use their faculty or staff account for personal matters. Conversely, Rivier University requires employees to use their Rivier email address when working on Rivier matters. Please keep your work data separate from your personal data!
