Notes for Instructors

Where Can My Class Reserve The VR Headsets?

    • The Meta Quest VR stations are located in the Memorial Event Space on the 2nd floor of Memorial Hall. To reserve them for use, place an order in Catertrax to reserve the Memorial Event Space. You must do this at least 1 week ahead of your desired class time to ensure Facilities can set up the room appropriately and Rivier IT can staff the experience.
    • When making the reservation, you must check the button “yes” that you require technical assistance. State in the free-form box you wish to reserve the VR cart.
    • Specify the exact date and start/stop times of your class.
    • Rivier IT needs to know which experience(s) you plan to use as it takes time to pre-load the headsets with the appropriate apps. If there is a fee for the experience, your department (not IT) is responsible for that cost.
    • Currently, the VR cart is restricted to Memorial Hall only.

Setup Pre-requisites Before Each Lesson

    • Pre-Pairing: Before class, pair each set of controllers with their respective headset. This minimizes the chances of cross-pairing or interference during the session.
    • Space Out Headsets: Arrange the headsets and controllers so that they are spaced out to minimize wireless interference. Ideally, have each student with their own area or station.
    • Avoid Cluttered RF Environments: Ask students to put away phones and laptops to minimize interference from other electronics.
    • Staggered VR Headset Activations: Power on the headsets and controllers one at a time, allowing each one to complete its pairing process before moving to the next. This can help avoid overlapping signals during pairing.

Monitoring and Troubleshooting

    • Monitor Connections: During the session, keep an eye on any potential connectivity issues. If a headset or controller loses connection, power it off and on again to re-establish the pairing.
    • Have Spare Equipment: Have extra controllers, and possibly a spare headset, available in case any devices fail to pair or encounter issues.

Instructions For Students

    • Clear Instructions: Provide clear instructions to students on how to properly power on, pair, and use the devices. Emphasize the importance of only using their assigned equipment.
    • Practice Session: If time permits, conduct a brief practice session before the main activity to ensure everyone is familiar with the equipment and procedures.
    • Settings: To ensure a consistent experience for everyone, students are not allowed to modify software settings of any headset and/or controllers. Likewise, students are not allowed to download apps. Contact the Rivier IT Help Desk at itsupport@rivier.edu or 1-603-897-8469 if any headset needs software adjustments.

Putting Equipment Away

    • Reload The Cart: Make sure all VR headsets and controllers are placed neatly back in the cart. All headsets must be plugged into a charger cable. This will ensure the next class has fully charged headsets for all their students.

By following these best practices, you can create a smoother and more organized experience when using multiple VR headsets and controllers in a classroom setting.
